3.  OFFICIAL WEBSITE

3.1        The official website for the 41st AEM and Related Meetings is www.41stAEM.org and can be accessed from 15 July 2009 onwards. The website will have information relating to the 41st AEM and Related Meetings, including the Registration Form for delegates to do online registration. Online registration will be open from 20 July 2009 to 6 August 2009.(24.00 Hrs Bangkok Time)

4.1        The 41st AEM Conference Secretariat is responsible for the 41st AEM and Related Meetings, and all administrative matters along with logistical arrangements for the meetings.

4.4        The Secretariat Room for all meeting is located at Room 3 on Mezzanine Floor at the Millennium Hilton Bangkok Hotel.

5.  ACCREDITATION / REGISTRATION

5.1        Registration for all delegates should be done from 20 July 2009 to 10 August 2009.  Online registration is strongly encouraged. This can be done via the official AEM website www.41stAEM.org. The sample registration form is at Annex B.
5.2        In advance of online registration, each country would be required to nominate one (1) Country Representative (CR) for the registration process. A user name and password to access the registration form will then be provided to the CR via email. For this, the following CR information should be provided to the 41st AEM Conference Secretariat by 20 July 2009:

6. HOSPITALITY

6.1        All Ministers, SEOM Leaders, the ASEAN Secretary-General and their spouses will be accorded hospitality during their stay in Thailand for the duration of the official programme. Hospitality will include a chauffeur-driven car, accommodation, meals (excluding alcoholic beverages)

6.2        Apart from the items listed above, hospitality does not extend to any additional services or items which have been consumed or purchased at the hotel.

6.3        The Ministers will also be accorded airport courtesies upon arrival and departure including baggage assistance and immigration/customs clearance. They will also be provided each with a Security Officer (SO) and a Liaison Officer (LO).

7. ACCOMMODATION

7.1        All Ministers, the ASEAN Secretary-General and their spouses will be provided with hospitality Executive Plus Suite at the Millennium Hilton Bangkok Hotel. Hospitality Executive Room will be provided to all SEOM Leaders and their spouses at the Millennium Hilton Bangkok Hotel.

7.2        Other delegates who wish to stay at the Millennium Hilton Bangkok Hotel are advised to make their own reservations in advance directly with the following contact point at the hotel as reservation form attached:

8. TRANSPORTATION

8.1        Chauffeur-driven cars will be provided to all Ministers, the ASEAN Secretary-General and SEOM Leaders upon their arrival and will be available for their use throughout the duration of the official programme.

8.2        Other delegates are to arrange for their own transportation. The Millennium Hilton Bangkok Hotel offers one-way airport transfers (45 Minutes from Suvarnabhumi International Airport to Hotel) at the following rates: (Please complete the Hotel Reservation Form by August 1, 2009)

9. RECEPTION UPON ARRIVAL AND DEPARTURE

9.1        Airport courtesies will be extended to all Ministers, SEOM Leaders and the ASEAN Secretary-General and their spouses upon their arrival and departure at the Suvarnaphum International Airport.

9.2        Luggage tags will be provided to all delegates to facilitate identification and clearance of luggage at the airport.

9.3        To ensure that proper arrival/departure courtesies will be accorded, details of travel arrangements should be provided to the 41st AEM Conference Secretariat by 10 August 2009. The 41st AEM Conference Secretariat should be promptly notified of any subsequent changes in the travel itinerary. Where possible, the flight details should be provided at the point of registration. Otherwise, the CR should provide the 41st AEM Conference Secretariat with the information once that is available.

10. IDENTIFICATION

10.1      All Ministers, the ASEAN Secretary-General and SEOM Leaders will be given lapel pins for ease of identification.

10.2      Delegates, conference secretariat staff, Security Officers (SOs), Liaison Officers (LOs), media, and other support staff will be given identification (ID) passes.

10.3      Lapel pins and ID passes must be worn and clearly displayed at all times in the meeting venue for security reasons. ID passes have to be scanned at security points, and access will be denied to personnel without ID passes.

11. MEDICAL FACILITIES

11.1      Medical services will be made available to all Ministers, SEOM Leaders and delegates. Medical services will also be provided for official events at the main lobby in the Millennium Hilton Bangkok Hotel. Courtesy medical services will be provided for Ministers and SEOM Leaders. Delegates will be responsible for bearing the costs of their own medical expenses incurred.

12. SPOUSE PROGRAMME

12.1      Three-day spouse programmes have been arranged for spouses of all Ministers. Details of the programmes are as attached Click here

12.2      Confirmation of the participation of spouses in the spouse programme should be indicated in the registration form.

13. BILATERAL MEETING ROOMS

13.1      Two bilateral meeting rooms located at  Room 2, Floor 30th , the Millennium Hilton Bangkok Hotel will be made available from 13-16  August 2009. Delegates who wish to book these rooms for bilateral meetings are required to make reservations through the 41st AEM Conference Secretariat. 13.2      Respective delegates will bear all incidental costs incurred during the bilateral meetings.

14. MEDIA ACCREDITATION / REGISTRATION

14.1      Only accredited media personnel will be allowed access to cover designated events of the 41st AEM and Other Related Meetings.

14.2      Registration for media personnel should be done online from 20 July 2009 to 10 August 2009 at www.41stAEM.org Only online registration will be accepted. A sample of the media accreditation form can be found in Annex D.

14.3      ID passes will be issued to media personnel who have been accredited by the 41st AEM Conference Secretariat.

14.4      The Media Working Room for the 41st AEM and Related Meetings will be located in Room Latern, the Millennium Hilton Bangkok Hotel and will be operational from 13 August 2009 to 16 August 2009 from 08.00 hrs to 17.00 hrs.

15. FIREARMS CLEARANCE

15.1      Participating Countries shall submit the Firearms Application Form (accompanied with a Note of Verbale from the Diplomatic Mission) to the 41st AEM Secretariat before 1 August 2009. The “Permission to Carry Firearms Permit” will be issued to the security officers at the airport after inspection of the firearm by the Thai authorities. Please complete the Firearms Application Form ANNEX E and return to Secretariat by Email AEMBKK@dtn.go.th by 31 July 2009.

15.2     The relevant customs and security inspection procedures for firearms will be conducted at the point of entry and departure.

15.3      All weaponry carried by member of delegations and not accompanied by an appropriate permit issued by the Thai authorities will be confiscated at the point of         entry and will be returned to the delegations on their departures.

16. RADIO COMMUNICATION DEVICES


16.1      Participating Country must declare their radio communication devices to custom     officers assisted by Airport Reception Team at the airport.  Please complete and return to Secretariat by Email AEMBKK@dtn.go.th by 31 July 2009.

17. GOLF      

17.1      A golf game for Ministers and the ASEAN Secretary-General has been arranged on 13 August 2009 (in the afternoon). For Ministers/ ASEAN Secretary-General who wish to participate in the golf game, the “Golf Registration Form” portion of the registration form needs to be completed.

18. SECURITY CHECKS

 18.1      Security checks will be conducted in the conference venue throughout the duration of the 41st  AEM and Related Meetings.
